ViDesigns uses artificial intelligence (AI) tools to support some of our work. This policy explains how we use them, how we protect information and what our clients can expect from us.
AI tools may help our team with research, brainstorming, content development, design exploration, coding, testing and internal administration.
AI is one tool in our process. Our team remains responsible for the work we deliver, the advice we provide and the decisions we make.
We do not enter confidential client information or personal data into public AI tools.
If a project requires us to use an AI tool to process client information, we assess the tool’s data handling and security arrangements first. We share only the information needed for the task and discuss the approach with the client where appropriate.
AI providers may process information in line with their own terms and privacy policies. We take those terms into account when choosing tools.
Our team reviews any and all AI-assisted work before sharing it with a client or including it in a deliverable. We check it for accuracy, relevance, quality, accessibility and suitability for the project.
AI tools can produce inaccurate, incomplete or biased results. We do not treat their output as verified fact or professional advice without appropriate review.
If a project includes an AI-powered feature, such as a chatbot or automated content tool, we discuss its purpose, data use and limitations with the client as part of the project. The client remains responsible for approving the feature and its intended use.
This policy describes how ViDesigns uses AI in its own work. It does not replace the terms, privacy notices or policies that apply to an AI product or service built for a client.
We use AI alongside the skills, judgement and original work of our team. We review deliverables before handover and follow the ownership and licensing terms in the relevant client agreement.
Third-party AI tools are also subject to their own terms and conditions. We consider those terms when deciding whether a tool is suitable for a task.
We use selected AI tools to support tasks such as transcriptions, summarising, research, content development, design exploration, coding and testing. Our tools may change over time.
Current tools: ChatGPT, Claude, Fireflies AI, SlackAI.
We do not enter confidential client information or personal data into public AI tools. If a project requires an AI tool to process client information, we review the tool’s data settings and terms first, and discuss it with the client where appropriate.
We use ChatGPT Business and Claude for Work for some tasks. OpenAI and Anthropic state that they do not use information submitted through these business services to train their models by default.
These providers still process information to deliver their services, under their respective terms and privacy policies. We avoid entering confidential client information or personal data.
Yes. Tell us at the start of the project or raise it with your ViDesigns contact. We’ll agree how to handle the relevant work and any effect on the project scope.
No. We don’t include AI-generated images or designs in our final deliverables. We may use AI during exploration to visualise concepts, mock up flows or create references that help us assess what works.
Once a direction is agreed, our team recreates and refines it using specialist design and development tools. The final work is created and checked by our team.
If you have questions about AI use on your project, speak to your ViDesigns contact or email [email protected].
